Purchase Order FAQ's

When should I use a purchase order?

For purchases estimated to exceed $3,500, create a requisition in Workday. Search for Create Requisition, then choose one of these options:

  • To purchase from a prequalified supplier’s website, select Search Catalog or Connect to Supplier Website.
  • To request an item or service that is not listed in a supplier catalog, select Request Non-Catalog Items. The approved requisition will become a purchase order.

For purchases under $3,500, use a university issued credit card assigned to you or your department.

Can I obtain bids on my own?

BYU’s Purchasing Policy and Procedures require competitive bidding for purchases of $10,000 or more and recommend it for purchases of $5,000 or more.

For details, see the Summary of Purchasing Procedures for Purchases Using Federal Funds or the Uniform Guidance page.

We recommend contacting the Purchasing buyer assigned to the commodity you plan to purchase. Buyers are trained in negotiation strategies that may help secure better pricing or terms. They may also know of other departments purchasing the same commodity, which could help you obtain volume pricing.

To find the assigned buyer, see the Commodity/Category Assignments link on the left side of this page, or call our office at 801-422-3872.

What should I do with rebates?

Do not select a supplier or venue solely because it offers a rebate. When possible, purchase through a contracted supplier in Workday to help avoid rebate-related issues and receive contract, often discounted, pricing. Any rebate earned must be returned to your department and may not be used for personal purposes.

Am I authorized to sign a contract?

The Presiding Bishop has delegated authority to Purchasing Department agents to sign contracts. If you have a contract, contact the buyer assigned to the commodity you are purchasing. The buyer will review and sign it. You may also review the contract and suggest any changes you believe are needed.

Employees must also follow the Legal Documents Policy.

How do I make a purchase at Sam's Club or Costco?

Sam’s Club: The University has a membership card on file at the Provo location. Check out the card at the Customer Service desk, then pay with a purchasing or corporate card. Sam’s Club does not accept Workday purchase orders.

Costco: The University has a membership card on file at the Orem location. Check out the card at the Customer Service desk, complete the purchase, and return the card to the Customer Service desk. Costco store locations only currently accept Visa so you must use a department purchasing card issued to your department. Costco.com accepts both Visa and Mastercard so you can use a corporate card online. The Orem Costco store also accepts Workday purchase orders.
