GETTING STARTED

PRE-TRAVEL

  • Determine a budget for your trip with your sponsoring campus unit.
  • Complete a Spend Authorization in Workday and obtain department approval.
  • Call the BYU Travel Office or use Simply Travel (domestic only) to book your travel!
  • If traveling internationally, make sure your passport does not expire within 6 months of the return
  • Verify your countries visa requirements
  • Make copies of your passport and visa to carry separately in case of loss or damage
  • Check-in to your domestic flight 24 hours before departure
  • Arrive at the airport at least 2 hours before your plane departs.
  • For international flights, arrive more than 2 hours before departure.
  • Make sure bags are less than 50 lbs.
  • Notify credit card providers of your dates of travel internationally.

DURING TRAVEL

  • While you travel, you will use a travel card, corporate card, or cash advance to pay for all business-related travel expenses.
  • Be sure to save or scan receipts for all purchases made that exceed $50.
  • Try the local food.
  • In international countries, travel with as little cash as possible and always lock valuables in a safe.
  • Have emergency cash.
  • Relax and enjoy it!

POST-TRAVEL

  • After traveling, you will complete an expense report in Workday to reconcile all the transactions made on your trip. You will need to include receipts for all purchases over $50.
